1. Multi-Tenant Isolated Database Guarantee
Studio Management Pro ("Studio Pro", "we", "us", or "our") operates on an enterprise multi-tenant database architecture. Every studio provisioned on our platform receives an isolated, private Firestore database instance. Your student data, financial records, attendance logs, and digital waivers are strictly segregated and inaccessible to any other studio or third-party tenant.
2. Information We Collect
When studio administrators, teachers, students, or parents interact with Studio Pro, we collect the following types of information:
- Account & Studio Data: Studio name, administrator email, contact phone number, and physical location addresses.
- Student & Parent Roster Data: Student names, birthdates, emergency contact details, attendance history, and digital liability waiver signatures.
- Billing & Payment Metadata: Payment reference numbers and transaction statuses via our WiPay integration. We never store credit card numbers directly on our servers.
- Kiosk Sign-In Media: Optional check-in verification photos captured at the tablet kiosk (if enabled by your studio).
3. How We Use Your Information
We use your collected information strictly to provide, maintain, and protect your studio's operational management platform:
- Facilitating automated class registrations, attendance tracking, and student kiosk check-in.
- Generating invoices and processing subscription renewals via WiPay.
- Sending transaction receipts, automated class reminders, and administrative notifications.
- Ensuring platform uptime, database backup integrity, and fraud prevention.
4. Data Sharing & Third-Party Services
We do not sell, rent, or trade your studio or student data to advertisers or third parties. We share data only with essential infrastructure service providers necessary to operate the platform:
- Google Cloud & Firebase: For encrypted database storage, user authentication, and secure media hosting.
- WiPay: For secure Caribbean and international payment processing.
- Resend: For transactional email delivery (invoices, receipts, welcome alerts).
5. Data Retention & Studio Deletion
Studio owners maintain 100% data ownership. If a studio account is terminated or permanently deleted by the Super-Admin, all associated student records, class schedules, waivers, and uploaded media files are permanently purged from our databases and storage buckets.
